TERMS OF SERVICE

These Terms of Service govern appointments and related photography, video, drone, floor-plan, virtual-tour, editing, and media services provided by Toledo Real Estate Media. They apply together with the confirmed order and our Copyright Statement.

New orders and existing commitments. The updated photo allowances, revision allowance and payment rules apply to new orders confirmed after this version is published on October 31, 2026. Previously confirmed orders retain their agreed prices, inclusions, payment terms and delivery commitments.

Definitions

For the purpose of these Terms and Conditions, “Client” refers to any person(s) or company who has booked a service with Toledo Real Estate Media. “Photographer” refers to any individual or entity representing Toledo Real Estate Media.

Scheduling and Contact Information

Clients can request photography appointments via text, email, phone call, social media messaging services, or through our online scheduler. We will confirm the date, time, and location of the shoot within 24 hours of the request. Once both parties have acknowledged the date and time of the appointment, the appointment will be considered “booked”. We primarily operate in the Toledo, Ohio area. For listings outside our service area, please call or text (419) 540-0065 with the listing’s address for availability. For properties outside our usual service area, confirm availability and any travel charge before booking.

Short-notice and special scheduling requests. Appointments requested less than 24 hours before the scheduled start time, including same-day or emergency requests, and requests that require special scheduling accommodations during peak-demand periods may be subject to an additional scheduling fee of up to $100.

Peak-demand accommodations may include extending normal operating hours, rearranging an established route or schedule, assigning additional personnel, reserving limited-capacity appointment times, or otherwise making an exception to standard availability.

If a fee applies, TREM will disclose the exact amount before confirming the appointment. The fee will not be added after confirmation without the client’s written approval. When practical, the client may avoid the fee by selecting an available standard appointment time.

HDR Photography and Editing Options

Included listing photography uses tripod-based, multi-exposure HDR capture with AI-assisted blending and human editing. The optional Hand-Blended HDR Upgrade provides manual blending of the captured HDR exposures. It applies to the ground-based HDR listing photographs; drone photographs and separately ordered digital enhancements are separate services.

The hand-blending upgrade is $50. Properties over 2,500 through 4,000 ft² add $25 to that upgrade; properties over 4,000 ft² add $50 total to the upgrade. These upgrade adjustments are in addition to the existing photography size fee below. All applicable amounts are confirmed before booking, with size adjustments added once to the balance at delivery. Existing confirmed orders retain their agreed prices, editing inclusions and terms.

Large-Property Fees

For new orders, photography and each 3D-tour service have the following large-property fees, in addition to their agreed base prices:

• Up to 2,500 ft²: no large-property fee.
• Over 2,500 through 4,000 ft²: add $50.
• Over 4,000 ft²: add $100 total.

The large-property fee applies separately to listing photography and each 3D-tour service ordered. It is added to the balance at delivery. For a 4,200 ft² home, listing photography adds $100; listing photography plus one 3D tour adds $200 in large-property fees. These amounts are in addition to the agreed base service prices.

The applicable fees are disclosed before booking and added to the final balance at delivery. Existing confirmed orders retain their agreed prices and terms.

Photography Allowances

Listing photography includes up to 50 finished ground-based HDR photographs of the agreed rooms and exterior views, in high-resolution and MLS-ready sizes. The optional hand-blending upgrade applies to the same agreed HDR gallery. Drone photography includes up to 10 professionally edited aerial photographs of the agreed views, subject to safe weather, airspace and site conditions. The detail-photography add-on includes 10 additional agreed detail photographs beyond the main gallery.

These are maximum allowances, not guaranteed minimum counts. The final selection reflects the property and agreed coverage. Confirm any different coverage, extra units or additional capture before booking; additional scope requires an agreed quote before work.

At the Shoot

The Client or an authorized representative must be present at the shoot to approve the Photographer’s interpretation of the project. If no representative is present, the Photographer’s interpretation will be deemed acceptable. Client supplied “shoot lists” can be followed, however the Photographer’s interpretation will be deemed acceptable if the Client or authorized representative is not present. The property must be staged, cleaned, or otherwise ready and prepared prior to the shoot, as properties will be shot “As Is”. Any post-production requests for item removal will incur additional charges.

If a property is not in an acceptable disposition for safety, Toledo Real Estate Media reserves the right to refuse service unless the safety concerns can be corrected immediately. A $75 cancellation fee will incur if the photographer has to refuse service due to safety reasons.

At a cost, Toledo Real Estate Media will utilize health and sanitation gear and equipment when deemed proper to complete a shoot. It’s up to the client to provide a safe, clean, and acceptable environment for photography services. The minimum charge for this is $100 and will not exceed $250.

Unless otherwise stated and/or agreed upon prior-to or during the photoshoot, all photographs and videos will be taken, edited, and delivered in a widescreen/landscape format.

After the Shoot

Images will be digitally retouched and delivered typically within 24 hours after the end of your photoshoot, but no later than end of next business day or unless otherwise specified. All images will be available in both High Resolution and MLS Resolution.

Video delivery time is highly dependent on the scope of the video project but are typically delivered within 48 hours.

Minor Adjustments and Corrections

Each delivered service includes one consolidated round of minor adjustments requested within seven calendar days of that service’s delivery. Minor adjustments stay within the agreed brief, such as reasonable crop or color refinements, label or caption corrections, or small sequencing changes.

TREM technical errors or a failure to follow the agreed brief are corrected without charge, including a necessary return visit when TREM is responsible. The seven-day creative-review window does not make a genuine technical error chargeable. A new concept, different source image, additional orientation, extensive object removal, additional capture or changes to the property after the shoot are new scope, quoted and agreed before work. Return visits for new or changed scope may incur an agreed charge.

Payment and Delivery-Time Balances

Base-service payment is required before the shoot for new customers, orders over $500, accounts with late-payment history and customers with two or more cancellations within six months. Eligible other customers may pay within 72 hours after delivery for no additional fee.

The complete estimate, including disclosed size fees, is confirmed before booking. That full estimated order value determines whether the order is over $500. For prepaid orders, the applicable base-service amount is paid before the shoot; the disclosed photography, tour and hand-blending size adjustments are added once to the balance at delivery and are due at delivery. For eligible returning customers, that balance remains due within 72 hours after delivery. Previously paid amounts are credited once; the same fee is never collected at checkout and again at delivery.

For an existing account whose payment history, cancellation history or order value requires prepayment, TREM confirms the applicable payment arrangement before the shoot. An invoice option in the booking system does not waive these payment requirements.

Cancellation and Rescheduling

Cancellation or rescheduling requests received at least 24 hours before the scheduled start time will not incur a cancellation fee. Requests received less than 24 hours, but more than one hour, before the scheduled start time may incur a $25 fee. Requests received one hour or less before the scheduled start time, or after the photographer has arrived, may incur a $75 fee.
